GradSkill - Exeter University Post Graduate Online Booking System

In 2003 the Graduate School at University of Exeter approached Rokk Media to explore the possibility of moving the booking of their Graduate School Skills Programme Seminars online. Up to that point the process of promoting events and taking bookings had been a manual process and required a team of four.

After working with the School to establish a scope of requirements the following was outlined as minimum functionality requirement:

  • Distinct, easily navigable, structured and accessible online booking system that uses standard skill categories to group training and development opportunities providing a comprehensive and centralized training portal for students.
  • Personalised training account that allows users to automatically manage their own development through:
    • the interrogation of specific event information (e.g. event description, learning outcomes, target audience, previous student ratings and comments, facilitator details, venue, time and date etc),
    • by adding/removing themselves from bookings and listing a history of the events already attended
  • Secure booking system that requires bona fide university username and password details with the potential to link to other student systems (e.g. Student Registry, Personal Development Plans, Student Portal).

Main functions and benefits

  • Clear and robust interface for managing multiple event bookings
  • Secure and integrated administrators area for undertaking a wide-range event management tasks which include:
    • the ability to add/remove events using a simple but comprehensive template
    • the ability to see participant bio-data (school, funding status, mode of attendance, year of study, special needs)
      an automated seminar booking function to keep abreast of numbers registering, or not!
    • a report generator to interrogate bio-data for attendees across a series of events, or selected time period
    • standard and time-saving email templates to populate, refine and store (e.g. delegate reminders, preparatory work, cancelled events, change of venue)
    • email generator function that by-passes the administrators institutional email client (e.g. email to future/past event participants or aggregated cohorts)
    • automated email and on-screen reminders when people book, remove themselves, book but do not attend etc.
    • email archive to store emails sent in case of queries

The completed solution was delivered on time and within budget.

Rokk Media has been involved in further development to the system almost on an annual basis including total integration with the existing internal student account system (SITS) last year which removes the need for multiple login credentials, and for further monitoring of student activity.
